A Single Central Record that keeps the evidence, not the paperwork
Record every pre-appointment check for every adult who works with your pupils, see at a glance who needs attention, and hand an inspector a clean export — without storing a single scanned certificate.
Opt-in per organisation. Nobody sees the register until you give them a role.

Every pre-appointment check, one status per person
The register is organised around the checks that Keeping Children Safe in Education expects a school to make before someone starts work. For each person you record the outcome and date of each check, and the register turns that into a red, amber or green status so the gaps stand out before an inspector finds them.
- Identity
- Barred list
- Enhanced DBS
- Prohibition from teaching
- Overseas checks
- Qualifications
- Right to work
- Section 128 — for academies and independent schools
Agency staff are on the register too, with the agency’s written confirmation recorded against each worker, so supply cover does not become the blank row in your record.
Designed to hold as little as possible
A register full of copied certificates is a data-protection liability. This one records that a check happened, not the document that proved it.
No copies stored
Copies of certificates and identity documents are never kept in the register. You note the check; the paperwork stays wherever your policy says it should.
Encrypted where it matters
DBS certificate numbers and free-text notes are stored encrypted, so they are not readable in the clear in the database.
Leavers fall away
The day after someone leaves they drop off the register and its exports, and their certificate number and notes are erased. A minimal record is purged after six years.
One record across a multi-academy trust
A teacher who works across two of your schools should not have two records that drift apart. In a trust, each person has a single record, with an entry for every school they work at. Where a check applies to the whole trust, that entry is shown on every school’s record.
Access is by role. An SCR Manager can read, write and export; an SCR Viewer can read and export. Simply holding the account does not open the register: an account holder with no SCR role sees no data at all.
Moving an existing spreadsheet across is a CSV import with a confirmation step, so you see what will be created before anything is saved.
Training sits beside the checks
Pre-appointment checks tell you who is safe to appoint. Training tells you whether they are ready for the role. The register shows each member of staff’s training against what is required of them, using requirement packs, role duties and induction periods. A Schools (KCSIE) pack is applied automatically, so a new school does not begin with an empty requirements list.
Training records already held in your account feed the view directly, and a “Find a course” page takes you from a gap to a course that closes it.
Inspection-ready, and accountable
The export is built for the day someone asks to see the register. Choose whether the DBS number appears in full or masked, depending on who will be holding the file.
Every export and every reveal of a full DBS number is written to an append-only access history. If the system cannot record an export in that history, it refuses to produce it — so you can always say who took a copy of the register, and when.
Renewal reminder emails go to the people who manage the register and contain counts and school names only. No names, numbers or other personal details travel by email.
